PAC Executive Roles & Responsibilities

A PAC (Parent Advisory Council) is a group of parents and caregivers who work together to support our school. We help plan events, raise funds, and give input on school activities.

To keep our PAC running, we must fill three key roles:
Treasurer, Chair, Secretary

We’re looking for parents and caregivers to volunteer — even a small amount of time makes a big difference!

1. Chair

Role: Leader of the PAC

  • Responsibilities:

    • Set the agenda for meetings.

    • Organize and coordinate meetings.

    • Serve as the main contact between the PAC and the school Principal.

    • Ensure the PAC runs smoothly and adheres to its mission.

2. Treasurer

Role: Financial oversight and management

  • Responsibilities:

    • Disburse funds responsibly for PAC activities.

    • Maintain financial records and transparency.

    • Manage any external funds, such as BC Gaming funds or grants.

    • Provide regular financial updates to PAC members.

3. Secretary

Role: Communication and record-keeping

  • Responsibilities:

    • Notify PAC members about upcoming meetings and agendas.

    • Collects meeting items and reports the agenda prior to meetings.

    • Document and publish meeting minutes on the PAC website.

    • Ensure accurate records are kept for all PAC activities.

4. Fundraising & Direct Drive Lead

Role: Fundraising coordination and initiatives

  • Responsibilities:

    • Organize the “Rise Up Hawks” direct donation drive.

    • Work on various fundraising initiatives.

    • Reach out to local businesses and community groups for donations.

    • Ensure transparency and communication on fundraising efforts.

5. Communication Lead

Role: Parent and caregiver involvement

  • Responsibilities:

    • Coordinate with parent liaisons across different school divisions.

    • Organize volunteers for school events.

    • Gather ideas to engage parents and caregivers more effectively.

    • Create Signal groups, digital visuals, and print materials.

    • Post updates on social media.

    • Ensure communication and feedback loops between the school and parents.

6. Health & Nutrition Lead

Role: Organizes the Hot Lunch Program

  • Responsibilities:

    • Support healthy food and snack choices at school events

    • Help plan and coordinate initiatives like fruit & veggie programs, hot lunch, or healthy fundraising options

    • Work with staff and parents to promote wellness and nutrition awareness

    • Ensure food offerings at PAC events are inclusive (allergies, dietary needs, cultural considerations)

7. Traffic Safety & Active Transportation Lead

Role: Address traffic concerns and encourage active transportation

  • Responsibilities:

    • Bring parental concerns around traffic safety to the city and local authorities.

    • Work to improve active transportation options (e.g., promoting Bike to School events).

    • Advocate for safe travel routes for students.

8. Seismic Upgrade Project Lead

Role: Oversee seismic planning and building safety improvements

  • Responsibilities:

    • Coordinate activities related to seismic upgrades and school building safety.

    • Assist with input on the seismic program definition and planning.

    • Support the transition process for construction or renovation projects.

9. District PAC Representative

Role: Liaison between school PAC and District PAC

  • Responsibilities:

    • Represent the school at District-wide PAC meetings.

    • Provide input on district-wide priorities and initiatives.

    • Report back to the school PAC on key developments and areas of interest at the district level.

10. Event Lead

Role: Organize and coordinates events and fundraisers

  • Responsibilities:

    • Organize and coordinate PAC events and fundraisers

    • Form and support a volunteer team to help plan and run activities

    • Find creative ideas for events, raffles, and fundraising opportunities

    • Collect and manage donations

    • Create and manage volunteer teams for each event

    • Communicate clearly with the team to keep everything on track

11. Hawks Night Lead

Role: Organize, coordinate, and lead the Hawks Night planning committee

  • Responsibilities:

    • Form and support a volunteer team to plan and run the event

    • Create and manage spreadsheets and planning documents

    • Communicate with the team, manage tasks, and ensure all deadlines are met

12. Merchandise & Sales Coordinator

Role: Oversee school-related merchandise and sales initiatives

  • Responsibilities:

    • Coordinate the sale of school merchandise (e.g., T-shirts, hats, spirit wear).

    • Work with suppliers to source products that represent the school.

    • Promote and organize sales events, both online and in-person.

    • Track sales revenue and ensure that profits are directed towards PAC-funded initiatives.

    • Ensure all merchandise is paid for, distributed, and delivered responsibly

    • Assist in planning merchandise sales around school events (e.g., fundraisers, sports games).

13. Athletics Engagement Coordinator

Role: Foster involvement and support for school athletics

  • Responsibilities:

    • Promote school sports programs and events to the school community.

    • Organize parent and student volunteer opportunities for sporting events.

    • Liaise with coaches, teachers, and athletes to ensure smooth operations of athletics-related activities.

    • Help boost student and family engagement by planning spirit events around sports (e.g., "Game Days" or "Team Support" days).

    • Work with fundraising and community engagement teams to secure support or sponsorship for athletics.

14. Intermediate Student Representative

Role: Represents Students & fosters students involvement

  • Responsibilities:

    • Represent the voices and ideas of intermediate students (Grades 4–7) at PAC meetings

    • Share feedback from classmates about school events, activities, and student needs

    • Support the Green Team, our student-led environmental initiative

    • Help with planning and promoting school spirit events and initiatives

    • Encourage student involvement in PAC-supported programs

    • Act as a bridge between students and the PAC to help build a stronger school community
